How to Calculate Chronological Age for Standardized Testing
If you administer norm-referenced assessments, the child's chronological age is not a formality — it selects the norm table. Get it wrong by a month and every standard score can change. Here is how to compute it correctly, every time.
Chronological age (CA) is the exact time between a person's date of birth and the date of testing, written as years;months;days. Speech-language pathologists, school psychologists, occupational therapists, and special educators all rely on it because the tables in test manuals — the CELF, PLS, GFTA, PPVT, KBIT and many others — are indexed by age in one-, two-, three-, or six-month bands. The score a child earns is compared only against peers in their exact band, so the band has to be right.
Why the semicolon format (5;2;26)
Assessment manuals write ages with semicolons: 5;2;26 means 5 years, 2 months, and 26 days. The semicolon is deliberate. A slash (5/2/26) looks like a calendar date, and a colon (5:2:26) looks like a clock time. The semicolon form can only mean an age, which matters when a number is copied between a protocol, a scoring table, and a report. When you record CA, use the same convention your manual uses so a reviewer can follow your work.
The subtraction-and-borrow method
The manual method lines the two dates up in three columns — year, month, day — and subtracts, borrowing from the left when a column would go negative. Write the test date on top and the birth date underneath:

Working right to left: 10 days minus 15 days is negative, so borrow one month. The key rule that separates a correct result from a sloppy one is how much a borrowed month is worth. It is not a flat 30 days. You borrow the actual number of days in the month before the test month — here that is May, which has 31 days. So the day column becomes 10 + 31 − 15 = 26, and the month column drops by one. Then 6 − 1 − 3 = 2 months, and 2024 − 2015 = 9 years. The child is 9;2;26.
Using a real month length instead of 30 is what keeps the day count honest. Depending on which month you borrow, a month is 28, 29, 30, or 31 days, and a flat-30 shortcut can be off by up to three days — enough to cross a norm boundary right around a birthday.
Never round up
This is the rule examiners most often get wrong. Chronological age is truncated, not rounded. A child who is 6 years, 11 months, and 29 days old is 6;11;29 — they are not "almost 7," and you do not bump them to 7;0;0. Test manuals are explicit about this because rounding can shift a child into the next norm group, and every standard score, scaled score, and percentile is drawn from that group. When a manual expresses age in months, you drop the leftover days for the table lookup; you never carry them up into another month. The exception is any procedure your specific manual prescribes — always defer to the manual, but the default is: keep the exact value and truncate.
Month-end and leap-year edge cases
Two situations trip people up, and they are exactly the situations a good calculator should handle openly.
Borrowing at a short month. Suppose a child was born on January 31 and is tested on March 1. The day column needs a borrow, but February is short. Counting complete months from January 31, the anniversary lands at the end of February (the 28th, or 29th in a leap year), leaving one extra day — so the age comes out as 0;1;1. The important thing is consistency: decide on a rule, apply it the same way every time, and be able to explain it.
February 29 birthdays. A child born on February 29 has no birthday in common years. Conventions differ: some treat the birthday as February 28, others as March 1. DateSpan uses February 28 in non-leap years, which matches the day-clamping in standard date software, and it states the rule on the tool page so you can document your method. Because this affects only leap-day births, note which convention you used if a report is ever questioned.
Age in months and decimal age
Some tables are keyed by age in months rather than years;months;days. Convert by multiplying years by twelve and adding the months — a child at 9;2;26 is 110 months (9 × 12 + 2), and you keep the 26 days as a remainder rather than rounding the months. A few research protocols use decimal age, the total number of days divided by 365.25; it is convenient in a spreadsheet but is an approximation, so use it only where the manual asks for it.
Common mistakes to avoid
- Spreadsheet timezone drift. Pasting dates into a tool that parses them as UTC can shift a date by a day, changing the age. Prefer a calculator that works on plain year-month-day values.
- Using the report date instead of the test date. CA is measured on the day of administration. If testing spanned two sessions, most manuals use the first date.
- Rounding "to be safe." It is not safe — it can change the diagnosis-relevant scores.
- Borrowing 30 days by habit. Use the real length of the borrowed month.
- Typos in the year. Always sanity-check that the age looks plausible for the client in front of you.
A quick checklist
- Confirm the date of birth from the record, not from memory.
- Use the actual administration date as the test date.
- Subtract with borrowing, using real month lengths.
- Truncate — do not round up.
- Convert to age-in-months if your table needs it, keeping the leftover days as a remainder.
- Double-check against a reliable calculator before you score.
